Getting Started with Aila

Welcome to Aila! This guide will help you get up and running with call quality assurance and analytics for your team.

Quick Start

Getting started with Aila takes just a few minutes:

  1. Sign Up - Create your account and organization
  2. Connect Your Tools - Integrate with your CRM and calendar
  3. Start Recording - Begin capturing and analyzing calls
  4. Review & Coach - Use insights to improve team performance

Creating Your Account

  1. Visit the Aila sign-up page
  2. Enter your email and create a password
  3. Verify your email address
  4. Create your organization

Initial Setup

Connect Your CRM

Aila integrates with popular CRMs to automatically sync call data and insights:

  • GoHighLevel - Full integration with contacts, opportunities, and custom fields
  • HubSpot - Sync call data and contact information

Navigate to Settings > Connections to set up your CRM integration.

Calendar Integration

Connect your calendar to automatically join and record scheduled meetings:

  1. Go to Settings > Connections
  2. Click Connect Calendar
  3. Authorize access to your Google Calendar, Outlook, or other supported calendar
  4. Aila will automatically detect and join scheduled meetings

Recording Platforms

Aila supports recording from multiple platforms:

  • Google Meet - Direct integration
  • Zoom - Automatic bot joining
  • Microsoft Teams - Bot-based recording
  • Phone Systems - Upload recordings or integrate with OpenPhone

Recording Your First Call

Browser Extension Method

  1. Install the Aila browser extension
  2. Join a Google Meet, Zoom, or Teams call
  3. Click the Aila extension icon to start recording
  4. The call will be automatically transcribed and analyzed

Calendar Bot Method

When you connect your calendar:

  1. Schedule a meeting in your calendar
  2. Aila automatically detects the meeting
  3. A bot joins the call at the scheduled time
  4. Recording starts automatically

Manual Upload

  1. Navigate to Calls
  2. Click Upload Call
  3. Select your audio/video file
  4. Add call details (caller, date, etc.)
  5. Aila processes and analyzes the recording

Configuring Quality Checklists

Quality checklists help you maintain consistent standards across all calls.

  1. Go to Settings > Call Scoring
  2. Create a new checklist template
  3. Add quality criteria (e.g., "Greeted caller professionally")
  4. Configure scoring rules
  5. Aila automatically evaluates every call against your checklist

Setting Up Custom Fields

Extract specific information from calls and sync to your CRM:

  1. Navigate to Settings > Custom Datasets
  2. Create a new custom field (e.g., "Budget", "Timeline")
  3. Configure AI extraction prompts
  4. Map to CRM fields
  5. Aila automatically extracts and syncs data

Inviting Your Team

  1. Go to Settings > Team & Subscription
  2. Click Invite Team Member
  3. Enter their email address
  4. Select their role (Admin, Manager, or Member)
  5. They'll receive an invitation email

User Roles

  • Owner - Full access to all features and billing
  • Admin - Access to all features except billing
  • Manager - Access to team coaching, performance metrics, and settings
  • Member - Access to personal calls and coaching
